How to Use the Project Cost Estimator
Create detailed project budgets by organizing work into phases and tasks. For each task, estimate the hours needed and set the hourly rate. The tool automatically calculates totals, applies overhead and contingency percentages, and visualizes cost distribution.
Key Features:
- Organize work into logical phases and tasks
- Add nested subtasks for detailed breakdowns
- Three estimation modes: optimistic, realistic, and pessimistic
- Apply overhead (business costs) and contingency (risk buffer) percentages
- Visual pie chart showing cost distribution across phases
- Export professional formatted quotes ready to share
- Save estimates locally in your browser for later editing
- Support for 6 international currencies
Understanding Project Cost Estimation
Project cost estimation predicts the total financial resources needed to complete a project. Accurate estimates are essential for budgeting, client proposals, resource planning, and project viability assessment.
Three Estimation Methods:
- Realistic: Your best professional estimate based on experience and similar past projects
- Optimistic: Best-case scenario (20% reduction). Use when conditions are ideal and team is highly efficient
- Pessimistic: Worst-case scenario (20% increase). Use when accounting for unknowns and potential delays
Overhead covers indirect costs like software licenses, infrastructure, or administrative time. Contingency is a safety buffer for unexpected issues—typically 10-20% for standard projects.
Common Use Cases
The Project Cost Estimator helps teams and professionals across many industries:
- Freelancers & Agencies: Generate detailed client proposals with professional breakdowns by project phase
- Project Managers: Plan budgets, allocate resources, and track estimated vs. actual costs
- Product Teams: Estimate feature development, release planning, and product roadmap feasibility
- Consultants: Quote engagements with confidence, accounting for scope and risk
- In-house Teams: Justify project investments to stakeholders with transparent cost breakdowns
Frequently Asked Questions
What is the difference between Overhead and Contingency?
Overhead represents known, recurring business expenses (software subscriptions, rent, administration) that apply to the project. Contingency is a risk buffer—extra budget for unknowns and scope changes. Overhead is typically 5-20% for service businesses; contingency is often 10-30% depending on project complexity and uncertainty.
How do I add subtasks?
Click "+ Sub" next to any task to add a subtask. Subtasks inherit their own hours and rates, and their costs roll up into the parent task total. Use subtasks to break complex work into smaller, more manageable pieces for accurate estimation.
Can I change currencies mid-estimate?
Yes! Change the Currency selector anytime. It updates all displayed values immediately. Note: this changes only the display symbol ($ → €) and doesn't convert rates—rates stay in the original values you entered.
What does the Estimate Type do?
Estimate Type applies a multiplier to all task hours for scenario planning. Optimistic reduces hours by 20% (best case), Realistic uses your entered hours as-is, and Pessimistic increases hours by 20% (worst case). This helps you present multiple scenarios to stakeholders.
How do I save and reload my estimates?
Click "Save Estimate" to store your current estimate in your browser's local storage. Use "Load Estimate" to restore it anytime later. Your data stays on your device—no account or internet required. Clearing browser data will remove saved estimates.
What does the Export feature create?
Click "Export Quote" to generate a formatted, professional text breakdown of your entire estimate. It includes project name, all phases, tasks, hours, rates, subtotals, overhead, contingency, and final total. The quote is copied to your clipboard—paste it into emails, documents, or proposals.
